This Privacy & Compliance Policy describes how SyncMySkills AI ("SyncMySkills," "we," "our," or "us") collects, processes, stores, and protects personal information submitted by users of the platform located at syncmyskills.ai. By accessing or using SyncMySkills, you acknowledge that you have read and understood this policy.

1. Information We Collect

SyncMySkills collects personal information that is necessary to provide the services described on this platform. The categories of information collected are as follows.

  1. 1.1 Account Information Upon registration, SyncMySkills collects your name, email address, and authentication method. Where Google Sign-In is used, SyncMySkills receives only the profile information provided through Google's OAuth authentication flow, limited to what is necessary to establish and maintain your account session. No access is requested or obtained to your Google contacts, email content, or other Google account data.
  2. 1.2 Onboarding and Profile Information During the onboarding process, users are asked to provide information including career objectives, preferred work locations, work authorization status, compensation expectations, and role preferences. This information is used solely to construct a candidate profile and to facilitate job matching within the platform. It is associated with your account and is not disclosed to third parties outside of the circumstances described in Section 6 of this policy.
  3. 1.3 Resume Data Users may upload or submit resume content directly to the platform. Resume data is processed by AI systems to extract skills, keywords, and professional experience for the purposes of resume optimization and job matching. Resume content is stored in association with your account and is not made accessible to employers or other users except through the structured submission workflows described in Section 7.
  4. 1.4 Job Interaction Data SyncMySkills records interactions with job recommendations, including views, saves, and application actions. This data is used to refine recommendation relevance within your account. It is not disclosed to advertisers or external parties.
  5. 1.5 Technical and Usage Data Standard technical data is collected during platform use, including IP address, browser type, device identifiers, pages accessed, features used, and session duration. This data is used for platform security, performance monitoring, and aggregate analytics. Where feasible, this data is anonymized before use in internal reporting.

2. Equal Employment Opportunity Information

Where required or applicable under law, SyncMySkills may present an optional equal employment opportunity questionnaire during the onboarding process. This questionnaire may request information regarding gender, racial or ethnic origin, veteran status, or disability status.

Completion of this questionnaire is entirely voluntary. No adverse action is taken and no platform functionality is restricted based on a user's decision not to provide this information.

Where such information is provided, it is stored in a data environment that is logically separated from the user's general candidate profile and onboarding data. This information is not used in any product feature, including job matching, resume analysis, or recommendation generation. Access to this data is strictly restricted on a need-to-know basis and is governed by applicable equal employment opportunity laws and compliance obligations. It is retained only for the purposes of regulatory reporting where such obligations exist.

3. AI Processing and Third-Party Model Providers

SyncMySkills utilizes multiple third-party AI model providers to deliver platform functionality. Depending on the feature being used, data submitted by the user may be processed by AI systems operated by providers including but not limited to Groq, Mistral AI, and OpenAI.

Each provider is engaged for specific processing tasks. The allocation of tasks across providers is determined by the nature of the request and the capabilities best suited to produce accurate output. Task-specific data is transmitted to the relevant provider at the time of processing and includes only the information necessary to complete that task.

SyncMySkills does not transmit full user profiles or complete resume data to AI providers beyond what is required for the requested operation. User data is not used to train, fine-tune, or improve any third-party AI model. Third-party providers are engaged under contractual terms that restrict use of submitted data to the processing of the specific request.

Users should be aware that by using AI-powered features on the platform, portions of the information they submit may be processed by third-party systems outside of SyncMySkills' direct infrastructure.

4. Data Storage and Security

SyncMySkills implements reasonable and industry-standard technical and organizational measures to protect personal information from unauthorized access, disclosure, alteration, or destruction.

These measures include encryption of data in transit using TLS protocols, encryption of data at rest, and role-based access controls that limit internal access to personal data to personnel for whom such access is necessary to perform their job functions.

No method of electronic storage or transmission is completely secure. While SyncMySkills takes the protection of user data seriously, we cannot guarantee absolute security. In the event of a data breach that is likely to result in a risk to the rights and freedoms of affected users, SyncMySkills will take appropriate steps to notify affected individuals in accordance with applicable law.

5. Job Portal Listings and Candidate Data

SyncMySkills operates an internal job portal in addition to aggregating publicly available job listings. For roles listed through the internal portal, certain information may be withheld from the job listing card presented to job seekers. This may include client organization contact details, specific compensation data, or other identifying information about the hiring party.

This practice is implemented to protect the confidentiality of employer relationships and is disclosed here for transparency. It does not affect the eligibility of any user to be considered for a listed role.

Resume data and candidate profile information is surfaced to employer accounts only through the structured matching and submission workflows built into the platform. Employers do not have unstructured or unrestricted access to the user database.

6. Disclosure of Personal Information

SyncMySkills does not sell personal information to third parties under any circumstances.

Personal information may be disclosed in the following limited circumstances:

  1. 6.1 Service Providers SyncMySkills engages third-party service providers for infrastructure hosting, database management, analytics, and AI processing. These providers process data on behalf of SyncMySkills under contractual agreements that prohibit use of such data for purposes other than the provision of the contracted service.
  2. 6.2 Legal Obligations SyncMySkills may disclose personal information where required to do so by applicable law, regulation, court order, or lawful request by a public authority. Where legally permitted, SyncMySkills will endeavor to notify affected users prior to such disclosure.
  3. 6.3 Business Transfers In the event of a merger, acquisition, reorganization, or sale of all or a portion of SyncMySkills' assets, personal information held by SyncMySkills may be transferred to the successor entity. Affected users will be notified of such a transfer and the successor entity will be required to process personal information in a manner consistent with this policy.
  4. 6.4 Consent SyncMySkills may disclose personal information to third parties where the user has provided explicit prior consent for such disclosure.

7. User Rights

Subject to applicable law, users have the following rights with respect to their personal information held by SyncMySkills:

  • Right of Access: Users may request confirmation of whether SyncMySkills processes their personal information and, if so, a copy of that information.
  • Right of Rectification: Users may request correction of inaccurate or incomplete personal information.
  • Right of Erasure: Users may request deletion of their personal information. Upon verification, SyncMySkills will remove personal information from active systems. Certain information may be retained for a limited period where retention is required by applicable law or legitimate compliance obligations.
  • Right to Data Portability: Users may request an export of their profile and resume data in a structured and commonly used format.
  • Right to Withdraw Consent: Where processing is based on user consent, users may withdraw that consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out prior to withdrawal.
  • Right to Object: Users may object to the processing of their personal information in circumstances where processing is based on legitimate interests.

To exercise any of the above rights, users should submit a written request to syncmyskills@gmail.com. SyncMySkills will respond within the timeframe required under applicable law and will not charge a fee for reasonable requests.

8. Cookies and Tracking Technologies

SyncMySkills uses cookies and similar tracking technologies to maintain user sessions, store user preferences, and collect aggregate usage analytics. SyncMySkills does not deploy third-party advertising cookies or tracking pixels associated with external ad networks.

Users may manage cookie settings through their browser configuration. Disabling certain categories of cookies may impair the functionality of some platform features.

9. Data Retention

SyncMySkills retains personal information for as long as a user's account remains active or as otherwise necessary to provide the services requested. Upon account deletion, personal information will be removed from active systems within a reasonable period, subject to any retention obligations imposed by applicable law.

Anonymized or aggregated data derived from user activity may be retained indefinitely for internal analytics and platform improvement purposes, provided such data cannot reasonably be used to identify any individual.

10. Amendments to This Policy

SyncMySkills reserves the right to amend this Privacy & Compliance Policy at any time. In the event of material changes to the manner in which personal information is collected or processed, SyncMySkills will provide notice to registered users via email or through a prominent notice on the platform no less than fourteen days prior to the changes taking effect.

Continued use of the platform following the effective date of any amendment constitutes acceptance of the revised policy. Users who do not agree to the revised terms should discontinue use of the platform and may request deletion of their account and associated data as described in Section 7.
